A Tailored Service

Outlined below are the 4 basic elements of our Service. However, we maintain a flexible attitude, and are generally able to adapt our Service to meet our client’s individual circumstances and needs.

Full Management

Under the full management package Polecat Properties will undertake looking after your property from finding a suitable tenant. Through to monthly rent collection and dealing with any tenant enquiries and ongoing maintenance issues for the duration of the tenancy and the following tenancy if so desired. All this is offered for just 12% gross rent (including VAT). This package is ideal for those whom want to take a backseat and just let their property work for them as an investment without any of the ongoing work that goes hand in hand with owing a rental property. This package is ideal for overseas landlords.

Under this package the agent will provide the following initial services:

  1. Rental advice and rental valuation of the property
  2. Advertising of the property of rental by whatever means the agent deems suitable and effective, including arranging photographs and floorplans.
  3. We are also able to arrange an EPC for the property at an additional cost of £60
  4. Assessing prospective tenants and arrange accompanied viewing of the property
  5. Arranging an inventory and schedule of condition of the property and those contents that are to be included within any tenancy
  6. Preparing tenancy document for signature by all relevant parties
  7. Execution of the legal documents including signing tenancy agreements on the landlord’s behalf   as his dully authorised agent.

In return for the ongoing management fees Polecat Properties will:

  1. Check the tenants into the property at the beginning of the tenancy.
  2. Collect the rent and forward statement regularly with the release of rents collected to the landlord as and when they fall due for the tenants accompany of the property notwithstanding that the tenants may have paid in additional payments in advance.
  3. Inspect the property every six months or more frequently if required by mutual agreement.
  4. Handle tenant’s enquiries.
  5. Arrange for any repair work on behalf of the landlord when authorised by the landlord to do so, or on using the discretion granted to the agent by the landlord in this contract in pursuance of protecting the property and landlord’s interest.
  6. Have the discretion to carry out any emergency or urgent repair works up to maximum cost of £50 without prior reference to the landlord.
  7. Check the tenants out at the termination of the tenancy.
  8. Advise gas, electric and water board and council tax office as appropriate of any changes of tenants.
  9. Advise on safety regulations and help organise the necessary safety checks on an annual basis.
  10. Handle general accounts enquiries.
  11. Negotiate rent increases and tenancy extension / renewal with the same tenants.
  12. Locate new tenants if required in which case the property will be advertised as being available by whatever means the agent deems suitable and effective.

Let and Rent Processing

Under the Let and Rent Processing package Polecat Properties will find a suitable tenant for your property, we will then take responsibility for all monthly rent collections for just 2% rent. This package allows the owner to have full control of their property once the tenant is in situ in terms of dealing with all tenant enquires, repairs and ongoing maintenance of the property, however the strife of dealing with the money side of lettings is done by Polecat Properties.

Under this package the agent will provide the following initial services:

  1. Rental advice and rental valuation of the property
  2. Advertising of the property of rental by whatever means the agent deems suitable and effective, including arranging photographs and floorplans.
  3. We are also able to arrange an EPC for the property at an additional cost of £60
  4. Assessing prospective tenants and arrange accompanied viewing of the property
  5. Arranging an inventory and schedule of condition of the property and those continents that are to be included within any tenancy
  6. Preparing tenancy document for signature by all relevant parties
  7. Execution of the legal documents including signing tenancy agreements on the landlord’s behalf   as his dully authorised agent.

In return for the rent collection fees of 2.4% (including VAT) gross rent Polecat Properties will:

  1. Check the tenants into the property at the beginning of the tenancy.
  2. Collect the rent and forward statements regularly with the release of rents collected to the landlord.
  3. Check the tenants out at the termination of the tenancy.
  4. Hold a property deposit insured by the mydeposits scheme. All terms and conditions can be found at www.mydeposits.co.uk

Let Only

If you enjoy the prospect of managing your own property and feel happier dealing with the day to day management rather than assigning an agent but do not have the time to process and vet potential tenants and feel that you do not have the available resources to market your property effectively then this is the package for you. Under our let only package we can find you a suitable tenant and manage the legalities up to and including the check in of the tenant. For this service we will charge you a one off fee of £240 including VAT (£300 inc VAT joint agency). Please note we operate a No Let No Fee policy. For this one off charge we will carry out the following services:

  1. Rental advice and rental valuation of the property
  2. Advertising of the property of rental by whatever means the agent deems suitable and effective, including arranging photographs and floorplans
  3. We are also able to arrange an EPC for the property at an additional cost of £60.
  4. Assessing prospective tenants and arrange accompanied viewing of the property
  5. Arranging an inventory and schedule of condition of the property and those continents that are to be included within any tenancy
  6. Preparing tenancy document for signature by all relevant parties
  7. Execution of the legal documents including signing tenancy agreements on the landlord’s behalf   as his dully authorised agent.
  8. Check the tenants into the property at the beginning of the tenancy.
  9. Hold a property deposit insured by the mydeposits scheme. All terms and conditions can be found at www.mydeposits.co.uk We will hold this deposit for no additional cost.

Marketing Only

The major property portals on the internet are only available to registered agents yet are undisputedly one of the best marketing tools for your property and are key in increasing public awareness to the availability of your property. Under our marketing only service, for just £ inc VAT we will:

  1. Marketing of the property online for a 6 month period. (Please note this is internet marketing only, the property will not be included in any newspaper campaigns or advertising) N.B. Polecat Porprteies will not supply any marketing materials for you, you will need to provide your own property details and photographs etc.
  2. Pass on any tenant leads relating directly to the marketed property which we receive
  3. If requested Polecat properties will supply a ‘To Let’ property board for the landlord to display for no additional fee, however a deposit payment of £10 will be required.

Although the above are our main packages we are always open to discussions for making a more bespoke package that fits your needs perfectly.
